Privacy Policy
Last updated: 19 October 2026
1. About this policy
This Privacy Policy explains how AppKPL Edtech India Private Limited (“we”, “our”) handles information when you use Mitra Outreach, available at outreach.dfbmitra.com (the “Service”). The Service helps you search for prospective business contacts, keep a knowledge base about what you offer, and prepare personalised emails that you review before sending.
2. Information we collect
Account information. When you sign in with Google, we receive your Google account name, email address and profile picture so we can identify you and set up your workspace profile.
Workspace content. We store what you create in the Service: search keywords, prospect records found for those searches (such as names, firm names, designations, cities, websites, social media links, phone numbers and email addresses), the documents and text you upload to your knowledge base, and the email drafts generated for you.
Connected mailboxes. If you connect a Gmail account so you can send emails from the Service, we store that email address along with the access Google grants us, kept in encrypted form, so the Service can send the emails you approve.
Usage information. We keep basic records of activity in the Service, such as when a search ran, when a draft was approved or sent, and delivery status reported by the email provider used to send it.
3. How we use information
We use the information above to operate the Service: running the prospect searches you ask for, generating email drafts that reflect your knowledge base, letting you review and send those emails through your connected mailbox or a connected email service, showing delivery statistics, and keeping the Service secure by limiting access to approved workspace accounts.
We do not sell your information, and we do not use your contacts or your knowledge base to advertise to anyone.
4. Who we share information with
Google. For signing in to the Service and, where you connect a mailbox, for sending email on your behalf through the Gmail API.
Service providers. We rely on third-party providers for cloud hosting and storage, artificial intelligence services that power prospect research and draft writing, and email delivery providers. These providers process information only to deliver their services to us.
We may also disclose information if required by law, or to protect the rights and safety of our users and our company.
5. How information is protected
Information is stored in a secured cloud database. Access to workspace data is restricted to accounts that have been approved by us, and technical controls are in place to keep each account's data separate. Connected mailbox credentials are stored encrypted and are used only to send the emails you approve.
No method of storage or transmission is perfectly secure, so we cannot promise absolute security.
6. Your choices and rights
Within the Service you can delete searches, prospects and drafts, remove knowledge base documents, disconnect a connected mailbox, and sign out at any time.
If you want a copy of your workspace data, a correction, or deletion of your account and its data, write to us at the address below and we will help. Please note that an email already sent through the Service has already left our systems and cannot be recalled.
7. Changes to this policy
We may update this policy as the Service evolves. When we make material changes, we will update the “Last updated” date on this page.
